Why the larger subscription is not the larger cost

On paper, keeping the old setup looks cheap. A Windows file share costs nothing extra. A licence for an on premises document management system such as Worldox, iManage, or eDOCS renews for a modest yearly maintenance fee. Set against a per user monthly NetDocuments subscription, the legacy option can look like the frugal choice. That comparison is misleading. It weighs one visible line item against another and ignores everything the firm is already paying for in lost time, unmanaged risk, and aging infrastructure. Look at the whole picture and a modern cloud document management system is usually the better financial decision, not only the safer one.

1. A plain file share has a real, hidden cost: wasted time #

A shared drive with an at will folder structure feels free because no one sends an invoice for it. The cost shows up elsewhere. Documents get saved in the wrong place, named inconsistently, or duplicated into three versions with no way to tell which is current. Staff and lawyers spend minutes hunting for files that should take seconds to find, and those minutes are often billable. A firm relying on a file share or an unsupported server can face higher premiums, narrower coverage, or harder questions at renewal. A platform that delivers those controls out of the box can work in your favour at exactly the moment it matters most.

The broader trend points the same way. The legal industry has been moving to the cloud for years, and the steady wind down of vendor support for older on premises products is one more marker on that road. Yes, a firm may still run other applications that depend on a server today, and that is fine. The sensible path is to move those legacy applications to cloud services over time as well, rather than buying another generation of hardware to keep them on life support. Decommissioning the document server is often the first and most valuable step, because documents are where the time, the risk, and the cost concentrate.

The bigger picture #

Comparing a NetDocuments subscription to an old maintenance fee is not an apples to apples comparison, and treating it that way leads firms to the wrong conclusion. The right question is not which line item is smaller this year. It is what the firm actually spends, and actually risks, across the full life of the system. Measured that way, a secure cloud DMS is rarely the expensive option. It is the one that finally puts the real costs where you can see and control them.
